Dormitories Consent Form

I, .........................................................................., undertake to abide by the regulations detailed below, during my stay in the Dormitories at Bilkent University:

1. I shall not occupy any space or use any furniture, items (room, bed, wardrobe, table, chair, etc.), apart from what has been assigned to me, and I shall not keep any additional large item (furniture etc.) in my room without the approval of the Management.

2. I shall not change my room or assign my room to another person without the permission of the Management.

3. I shall not accept visitors (even a Bilkent student) anywhere except designated areas by the Management.

4. I shall not let any guests (including my family members) stay overnight in my room.

5. I shall not write graffiti on the walls, doors or furnishings of the buildings or draw on or affix signs to, or damage the property in any way, and I shall pay for any damage caused by me at the current cost.

6. I shall not keep or use alcoholic beverages, drugs or stimulants in and around the Dormitories.

7. I shall not smoke or use tobacco products within Dormitory buildings (including student rooms and all other indoor spaces) as specified by the law no. 5727.

8. I shall not gamble.

9. I shall not display in my room or on the premises any indecent pictures or posters.

10. I shall not keep any food items in closets and drawers in my room, and/or any odorous or spoilt items in refrigerators (I herewith agree that such items are collected and disposed of by the Management, without prior notice).

11. I shall not keep or use such items as candles and incenses which may lead to fire; and I shall not iron in my room.

12. I shall keep my door locked throughout my stay in the Dormitories; I shall not leave my valuable items in the room or I shall keep them well locked; I herewith agree that the Dormitories Administration is not liable for loss or damage to my property, or for personal injuries sustained during my residence in the Dormitories.

13. In my relationships with others, I shall be civil and polite; I shall keep the environment clean; and keep the noise from music, instruments, television, singing and talking at a reasonable level. I shall be attentive with my manners.

14. I shall comply with the etiquette and keep my room and the premises clean and tidy.

15. I shall not keep pets in my room without the written permission of the Dormitory Management.

16. I shall not interfere with the duties of Dormitory personnel; I shall be civil towards them.

17. I shall show my Student ID card to Dormitory personnel and/or security officials whenever I am asked to do so.

18. I accept that my absenteeism from dormitories will be resulting with the following penalties;

I will get a “Warning” - if I am absent without a valid excuse from the Dormitory for a total of 5 days in one semester;

I will get a “Reproval” - if I am absent without a valid excuse from the Dormitory for a total of 10 days in one semester;

I will get a “Temporary Removal” for a period from one week to one semester - if I am absent without a valid excuse from the Dormitory for a total of 15 days in one semester; and

I will get a “Temporary Removal” for a period not shorter than two semesters or “Dismissal” from Dormitories - if I am absent without a valid excuse from the Dormitory for a total of 30 days in one semester.

Thus I herewith undertake that I shall not be absent from the Dormitory without any valid explanation or excuse; and agree that the records of camera and electronic card-entry systems will be deemed as sufficient proof in such cases.

19. I shall obey the closing hours of the premises –throughout my first year in Bilkent University and as long as I attend Prep class-, which are: 00:30 am on weekdays and 02:00 am on weekends and holidays. I shall fill the appropriate leave form beforehand for later entrances or sleep-out periods (home leaves, etc.).

20. If the dormitory I reside in is closed for any reason during vacation periods and/or longer holidays, I agree to move into another dormitory - as will be indicated by the Dormitories Administration.

21. I agree that my Dormitory or room may be changed as and when deemed appropriate by the Dormitory Management.

22. I agree that my room and belongings can be entered and inspected by Dormitory Managers or personnel to check safety, cleanliness and compliance with the Dormitory Principles and Regulations.

23. I am aware that I can be admitted to the Dormitory three days before the beginning of classes every semester at the earliest, and must leave the dormitory within three days after the end of the semester at the latest.

24. I am aware that non-scholarship students can stay in Dormitories during summer months only by paying the Summer School Dormitory fees; and students (with or without scholarship) can stay in reserve Dormitories during summer recess without paying Dormitory fee only given that they submit documents issued by their Faculties and Institutions (approved by the Rectoriate) confirming their attendance to ongoing education programmes (compulsory internship and compulsory courses).

25. I agree that no refunds will be made should the Dormitories Executive Board decide to suspend my further stay in the dorms.

26. I shall use my Student ID card for entering my Dormitory. I am aware that I will be considered non-attending if I fail to do so. I shall not let my ID card used by others. In case of loss or crash of my ID card, I shall renew my card within one week at the latest.

27. I shall take all notices and announcements made by the Dormitory Management into account and accept them as a rule.

28. I shall pay my Dormitory fee for each semester until the starting date of classes.

29. I shall fulfil all my administrative and financial obligations required before checking into Dormitories; I shall take over my room after a complete check-through, and shall let the Dormitory Management know of any existing damage –if any- within 24 hours, agreeing that due damage will be charged to my account if I fail to do so.

30. I shall inform the Dormitory Management and complete the check-out procedures before I leave the Dormitory. I herewith accept in advance that if I fail to do so, any belongings I may leave in the room will be collected and disposed of, and that I will have no claim on these belongings in such a case.

31. I shall not leave shoes, slippers or other personal belongings outside my room and I shall not leave my waste basket out except for waste collection hours specified by the Dormitory Management.

32. I am aware that I am allowed to reserve space beforehand and host my guests only in specified guest rooms, at specified daily rates.

33. I shall obey the General Principles and Regulations of the Dormitories and the items stated above as well as any further decisions taken by the University in relation to Dormitories (including latest updates in the website); and I am fully aware that otherwise disciplinary actions will be taken against me, as a result of which I may be suspended or dismissed from the Dormitory, and will be referred to my faculty or school for similar disciplinary procedures.

For Exchange Students, “orientation program start date” is considered as the “semester/classes start date”.
