Format Menu / Paragraph

The second command of the Format Menu is Paragraph. Using this command you can control

indents and spacing: that is, the alignment (left/centered/right/justified); the outline level; the indentation (left, right, special); spacing before and after the paragraph,; spacing between the lines that are in the paragraph. Note that if you type a negative indentation the text will go beyond the left/right margin towards the edge of the sheet.

line and page breaks: that is, the pagination; the line numbers and the automatic hyphenation.

Some of these paragraph formatting can also be made through the Formatting toolbar.

Format Menu / Borders and Shading

The fourth command of the Format Menu is Borders and Shading. Using this command you can

Format Menu / Change Case

Another command in the Format Menu is Change Case which is used to change the case of a selected text to one of the following options:

Sentence Case

Lowercase

Format Menu / Drop Cap

The Format Menu / Drop Cap may be used to enlarge the first letter of a paragraph to cover (drop) several lines. Just select the style and number of lines to drop.

Insert Menu / Break

The Break command of the Insert Menu may be used to insert a manual (hard)

Text wrapping break

Section break

at the insertion point. The section break can start on the next page, or even numbered page, or odd numbered page, or it may be continuous meaning that the next section will start on the same page as the current section.

A section break, hence creating more than one section in a single document may be used for the following purposes:

  1. different page orientation (landscape/portrait): Use of File>Page Setup differently on different sections

  2. different header/footer: Use of View>Header and Footer and making "Same as previous" button off, for the new section

  3. different number of columns: Use of Format> Columns command

View Menu / Header and Footer

You can edit header and footer by selecting Header and Footer from the View menu. To switch between header and footer just click on the "Switch between header and footer" button on the toolbar that is displayed. To return to the document itself click the close button.

Insert Menu / Date and Time

The Date and Time command of the Insert Menu may be used to insert the current date and time at the insertion point. The format and language of the date may be selected from the alternatives that are displayed. Check the check box Update Automatically if you want Word to change the date you have inserted to show the date when the document will be open.

Format Menu / Columns

In order to set up Newspaper-style columns using the columns dialog box:

  1. Select the text for multiple columns or position the insertion point.

  2. Choose Format Menu / Columns

  3. Choose an option in the Apply To list to specify the portion of the document to apply the columns formatting.

  4. Choose a column arrangement either using the Preset area or the part beneath. In the latter case you have to specify the number of columns, the exact width and spacing of each column (or select equal width),

  5. Specify whether or not you want to include a Line between the columns.

  6. Click OK.

The text flows from top to bottom in a column and from the bottom of a column to the top of next column in newspaper-style columns. You can force Word to move text into the next column by inserting a Column break. To switch to a different number of columns style first insert a section break and then repeat steps 1 through 6.

Insert Menu / Picture

The Picture command of the Insert Menu has the options

After inserting any kind of picture you can format it using the Format menu.

The important tabs of the format picture command are "Size" and "Layout". In the Size tab, you can change the height and/or width of the picture. The check boxes in the Size tab are important. If the "Lock aspect ratio" check box is on, then you can only change the width and height proportional to each other. The "Relative to original picture size" check box is related with the "Scale" part of the Size tab. In the Layout tab you can determine the wrapping style of the surrounding text and the horizontal alignment of the picture itself. The wrapping style will be one of:

 

  1. In line with text (Refer to the header/footer toolbar picture in this file)

  2. Square (Refer to the Format picture window above)

  3. Tight (Refer to the oval shape on the left)

  4. Behind text (Refer to the WordArt on this part)

  5. In front of text (In this layout you see the picture, but not the text behind!)
