BITS POLICIES AND PROCEDURES

- All students must have a production number in order to check out equipment or to make equipment reservations.
- Students are required to present their Bilkent Student ID card when reserving or checking out materials and equipment.
Equipment is the responsibility of the person whose name appears on the check-out sheet. Any fines incurred as a result of late return or damages will be charged to the name on the check-out sheet.
Only currently enrolled students who have taken GRA 351 may check out equipment.
Students are responsible for all equipment checked out, even if it is not used.
Students must read and review every detail of the check-out form before signing it to verify
that all information regarding equipment is correct. Upon signing the equipment check-out form a
student warrants and represents that he/she has received all equipment listed and the BITS/COMD
employees are thereby no longer held responsible.
- EQUIPMENT RESERVATIONS
Introduction to Video Production Technique I and II (GRA 351/352), Visual Communication Project I
and II (COMD481/482):
- Class and section numbers will serve as student production numbers for these classes (e.g. 351-02)
- Reservations are for a period of one day, i.e., if a student picks up a camera on Monday it is due back on Wednesday, before noon.
- Check-out forms will be given to you by your professor and must be signed by your professor in order to make a reservation.
- Reservations can be made up to two weeks in advance.
Students must have a production number before a reservation can be made for any production.

- EQUIPMENT CHECK-IN/CHECK-OUT
Check-in and Check-out times are absolute and without exceptions and fines for late returns
are enforced without exception.
Check-out
Monday, Wednesday, and Friday: 1 p.m. - 2 p.m. (subject to change)
- Appointment windows will be 30 minutes long. The appointments let us know when you will be here so that we can make check-out as fast as possible.
- Your check-out will not necessarily be finished in that half hour so please allow more time if you have a large package, i.e. Senior Project. This will help insure that people have a space to load and the equipment is checked out properly.
- Your appointment will be made when you reserve your equipment.
- Missing your appointment window may result in a cancelled reservation.
- It is the student's responsibility to check equipment operation before leaving the studio. Please examine the condition of the equipment before you leave and ask for any damages to be noted on the check-out form.
Any equipment turned in after these hours will be considered late.
Equipment must be checked and inside BITS at noon, not just coming in the door.
If you have a large package make sure to give yourself enough time for adequate check in.
Check-in
Monday, Wednesday, and Friday: 9 a.m. - 10 p.m.
- All equipment must be returned in the condition in which it was checked out.
- All cables and cords should be neatly coiled and all lighting kits, audio kits, camera kits, etc. should be packed neatly in their cases.
- Any damages not specified on the check-out form will result in fines.
- IMPORTANT: We reserve the right to check equipment for missing items and damage after the equipment has been checked into BITS and then fine the student if necessary.

- EDITING ROOMS
- Lab Assistants reserve editing time at the help desk located at the entrance of BITS.
- No food, drink or smoking is allowed in any of the production or editing rooms at any time.
- Reservations may be made no more than one week in advance and one session cannot be longer than four hours. Reservations must include:
- Production numbers
- Users' name
- ID number
- Class
- Time reserved
- Students may sign up for no more that eight hours per week per production course.
- Each day the current reservations will be posted by the rooms. If there are still times available, students may sign up in no more than three-hour increments.
- If you do not show up for your scheduled time or if you show up more than 30 minutes late, you relinquish your time and are subject to a penalty. Call 290-2635 to cancel reservations at least one hour before scheduled session.
FINES
- Late Equipment: $5.00 per inventoried item, per day
- Lost or damaged equipment: Students will be notified of cost of damage.
- Late or Lost Videotapes/Scripts/Editing Tapes: $20.00 per day
- Fines are non-discriminatory and cumulative. All fines must be paid before further reservations can be made or picked up. The first fine is at the specified amount. The second offense is a doubled fine. A third offense results in a tripled fine and suspension of BITS privileges.
- Questions or concerns about your fines should be directed to the department chair.
INSURANCE
Because we cannot operate without our equipment, it is in everyone's best interest that we treat our equipment and production facilities like gold. The University does not provide any insurance.
Students will be charged the full repair or replacement costs for equipment damaged through misuse and/or abuse or lost while in their care.
SAFETY AND SECURITY
All editing rooms and the studio are open 8 hours a day, 5 days a week. Lab Assistants will be on duty to assist with difficulties and room access. In case of emergency contact the security in the entrance of the building.
